If no one owns the succession, a request is easily lost. Rules can then determine which team the application goes to. A draft answer can help the employee, but it should be checked for correctness, tone and agreements made.<\/p>\n<h2 class=\"wp-block-heading\">First, design the route of an application<\/h2><p class=\"wp-block-paragraph\">Distinguish between sales questions, support, complaints and sensitive requests. For each category, record who owns it, when follow-up is needed and what happens if information is missing. Also determine how an application will be reassigned when someone is absent. Automation only works well if these agreements are clear.<\/p>\n<h2 class=\"wp-block-heading\">From message to controlled follow-up<\/h2><p class=\"wp-block-paragraph\">A possible route consists of four steps: reception, Classification, Assessment and follow-up. For example, a form submits a request; the application suggests a category and Summary; An employee checks it; then a task or answer is prepared. Discuss access rights, vendors, retention periods, and responsibilities before going live. Do not send an automatic response based on unconfirmed information and build a clear route for complaints or special situations.<\/p>\n<h2 class=\"wp-block-heading\">Measure whether the workflow really helps<\/h2><p class=\"wp-block-paragraph\">For example, compare the time to first response, the number of misallocated messages, and the proportion of requests picked up within the agreed time frame. Also check the quality on a random basis. Ask employees and customers what can be done better: a shorter lead time is only valuable if the content is correct.<\/p><h2 class=\"wp-block-heading\">Example: follow up on a new request<\/h2><p class=\"wp-block-paragraph\">A visitor asks for a service via a form. The workflow records the message and suggests whether it is about sales, support or another question. An employee reviews the layout and sees what information is missing. Then a task is assigned and an answer concept can be prepared. If the message is unclear or urgent, the employee must be able to change the route.<\/p><h2 class=\"wp-block-heading\">Agree on the workflow before implementation<\/h2><p class=\"wp-block-paragraph\">Record which channels count, who manages the general queue, and when a request is transferred. Also agree on how duplicate messages will be recognized and how customers will be informed if a question takes longer. Make exceptions visible: a complaint, request for deletion of personal data or sensitive contract request requires a different treatment than a general information request.<\/p><p class=\"wp-block-paragraph\">Start with a limited group of messages and check the proposals daily. Note why a layout is being modified and discuss recurring errors with the team.
