Find out what information is really needed and whether there are personal data or confidential company data. Record who handles questions and who decides on changes.<\/p>\n<h2 class=\"wp-block-heading\">Restrict access and privileges<\/h2><p class=\"wp-block-paragraph\">Give users and links only the permissions they need for their task. Distinguish between view, modify, and approve. Periodically check whether rights still match positions and departures of employees. For sensitive operations, a separate control or approval moment is sensible.<\/p>\n<h2 class=\"wp-block-heading\">Build in human control<\/h2><p class=\"wp-block-paragraph\">AI can give a convincing but incorrect answer. Therefore, for example, have concepts, financial changes, contractual information and personnel decisions checked by competent people. A backup is only usable if recovery is also tested. Agree on responsibilities, recovery priorities, and backup access; the right provisioning depends on your situation.<\/p>\n<h2 class=\"wp-block-heading\">Test with normal and unexpected situations<\/h2><p class=\"wp-block-paragraph\">Don't just Test a successful example. What happens in the event of missing information, a misclassification, a failed link or an employee without rights? Record who intervenes, how the process temporarily proceeds manually, and when the operation is reassessed.<\/p><h2 class=\"wp-block-heading\">Example: an AI concept for customer communication<\/h2><p class=\"wp-block-paragraph\">An application suggests an answer to a customer question. The device specifies which sources may be used and which data is not required. The employee checks the draft for facts, confidentiality and tone before sending it. If in doubt, the employee can adjust the proposal, reject it or forward the question to an authorized colleague.<\/p><h2 class=\"wp-block-heading\">Document responsibilities and review them regularly<\/h2><p class=\"wp-block-paragraph\">Create a simple overview of the application owner, vendor contacts, access roles, and incident procedure. Describe when and how backups are tested and who decides on recovery in the event of a failure. Make sure employees know how to report an error and how to stop the process temporarily.<\/p><p class=\"wp-block-paragraph\">Repeat checks when you add a new link or change the purpose of processing. Where necessary, involve your privacy and security advisors in assessing your own situation.
